What kinou is

kinou is a personal meeting-prep tool. It helps you remember things about the people you work with so you can show up to conversations with genuine care. It is not a CRM, not a surveillance tool, and not a data broker.

What we collect

About you

• Your name and email address, provided when you sign in via Google or Microsoft

• Your calendar data, accessed in real-time to show upcoming meetings and attendees — never stored

• Notes you choose to save about colleagues

• Meeting transcript content you upload or pull — processed immediately and never stored

About your colleagues

• Names, email addresses, and roles you enter manually

• Notes you choose to record about them

​

Your colleagues have not signed up for or consented to being in kinou. This is similar in nature to keeping a personal notebook or contact file — the information is private to you, never shared, and auto-deletes on a set schedule.

By using kinou, you agree to:

• Only record information you have a legitimate professional reason to remember

• Not record sensitive categories of information about colleagues — including health conditions, religious beliefs, sexual orientation, political views, or financial details

• Comply with your organisation's data handling and privacy policies

• Use kinou in a way that is consistent with applicable law in your jurisdiction

kinou is a private memory tool, not a surveillance system. You are responsible for using it ethically.

How we use your data

• To show you your meetings and the people in them

• To generate conversation openers using your notes (via Anthropic's Claude API)

• To auto-delete notes that have passed their fade date

 

We do not sell your data. We do not use your data to train AI models. We do not share your data with third parties except as described in the Sub-processors section below.

Note retention and auto-deletion

kinou is built around the idea that context should fade when it is no longer useful. Notes auto-delete on the following schedule unless you mark them "keep":

• Personal notes (sensitive): 30 days

• Personal notes (light): 90 days

• Work notes: 395 days (~13 months)

Kept notes are retained until you delete them manually. Deletion runs daily and is permanent — there is no recovery.

Legal basis for processing (GDPR)

If you are located in the European Economic Area (EEA) or the United Kingdom, the following applies:

kinou processes personal data on the basis of legitimate interests (Article 6(1)(f) GDPR). Our legitimate interest is providing you with a personal professional memory tool that helps you maintain genuine, contextual relationships with colleagues.

We have assessed that this interest is not overridden by the rights and freedoms of the individuals whose data is recorded, because:

• Notes are visible only to you — they are never shared, sold, or disclosed

• Notes auto-delete on a defined schedule (30, 90, or 395 days depending on type)

• You can delete any note at any time

• The information recorded is limited to professional context

For data about you (your account, calendar access), we process on the basis of contract performance — processing is necessary to provide the service you have signed up for.

Your rights

• Access: You can view all your data inside kinou at any time

• Delete: You can delete any note or person record at any time

• Export: Not yet available — coming soon

• Account deletion: Email us at happy@joydrop.me to request full account deletion

Security

• All data is transmitted over HTTPS

• Your database is hosted on Neon (AWS-backed), encrypted at rest

• Credentials and API keys are stored as environment variables, never in code

• Calendar data is never stored — fetched live and discarded

• Meeting transcript content is never stored — processed and discarded immediately
